Project Coordinator – Duties & Responsibilities

Role Summary

$30 to $38 based on experience.

The Project Coordinator provides administrative and coordination support to ensure projects are executed efficiently, safely, and in alignment with schedules and budgets. This role works closely with Project Managers, Project Supervisors, and stakeholders to support planning, documentation, logistics, and reporting functions across all phases of the project lifecycle.


Key Responsibilities

Project Coordination & Support

  • Assist Project Managers, Supervisors, and leadership with planning, scheduling, and execution of project work.
  • Support short- and mid-term planning (e.g., 7-day plans, look-ahead schedules).
  • Coordinate communication between field crews, management, subcontractors, suppliers, and clients.
  • Assist with tracking project progress, productivity, and schedule updates.
  • Participate in project meetings and provide administrative follow-up.

Project Administration & Documentation

  • Manage incoming/outgoing deliveries; track packing slips, purchase orders, and job costing data.
  • Order and track materials, inventory, and equipment rentals; coordinate pickups and deliveries.
  • Compile and maintain project documentation including:
    • Daily reports, progress photos, and schedules
    • Drawings, site maps, survey data, and correspondence
  • Enter, review, and monitor employee timecards and workforce tracking systems.
  • Prepare daily field reports summarizing activities, quantities, and observations.
  • Maintain accurate, organized, and audit-ready project records.

Cost & Contract Support

  • Assist with tracking budgets, cost codes, LEMS, and purchase orders.
  • Support documentation and coordination of RFIs, change orders, and site instructions.
  • Assist with monitoring labor, equipment hours, and project costs against budgets and report variances.

Workforce Coordination

  • Assist with workforce scheduling, logistics, and planning.
  • Support recruitment coordination, onboarding, and training documentation.
  • Facilitate employee setup in systems (e.g., SiteDocs).
  • Maintain positive working relationships.
  • May require managing crew accommodation requirements for camp-based projects.

Safety & Compliance

  • Promote and support compliance with company safety policies and site regulations.
  • Participate in Tailgates, FLHAs, and safety meetings.
  • Ensure required safety documentation is completed and maintained.
  • Assist with reporting all incidents and near misses in accordance with company procedures.

Qualifications & Requirements

  • Preference will be given to candidates residing in Williams Lake, BC or within the Cariboo region.
  • Experience in an administrative or coordination role within construction, civil, or mining environments preferred.
  • Strong organizational skills with the ability to manage multiple tasks and deadlines.
  • Proficient in Microsoft Office (especially Excel) and digital reporting systems.
  • Proficient in the use of laptops and mobile devices.
  • Demonstrates accurate and efficient typing and data entry skills in a timely, and detail-oriented manner.
  • Effective communication and interpersonal skills.
  • Ability to work in field environments, including outdoor conditions and lifting up to 50 lbs.
  • Valid Class 5 Driver’s License with reliable transportation and clean Driver’s Abstract.
  • Must be eligible to work in Canada and meet site access requirements (e.g., drug testing, fit testing).

Work Environment & Travel Requirements

  • Work includes both office and active field environments, including remote mine sites and field offices.
  • Travel to and from project or mine sites is required.
  • Requires overnight travel and extended stays in remote camp accommodations.
  • Schedule flexibility required, including potential changes due to operational needs and weather conditions.
